Ophthalmic Job Descriptions*
Ophthalmic Front Office Associate / Receptionist
Responsibilities: Front office tasks, to include answering phones,
greeting and directing patients, check-in and checkout; setting appointments
coordinated with time allowed for specific conditions and physician
schedules; related administrative tasks including physician referrals
and verifying medical records.
Requirements: Excellent ability to listen effectively and communicate
constructively; a friendly, welcoming personality with neat, well groomed
appearance;
a firm understanding of time-constraints relative to patient scheduling;
detailed and accurate; an appropriate sense of responsibility toward
patients and practice, solutions-oriented problem solving and follow-through;
respectful of the confidential nature of medical information.
Certified Ophthalmic Assistant (COA)
Certified Ophthalmic Technician (COT)
Responsibilities: Ophthalmic technician tasks, to include
implementing appropriate patient flow in coordination with front
office staff; initial patient interview and screening; preliminary
and highly specific eye exams (visual acuity, neutralization of
glasses, history of chief complaint, medical and ophthalmic history,
current medications, review of systems, allergies, family history,
tonometry, refraction, color vision); physician-ordered testing
(OCT, visual field, fundus photos, a-scan); maintenance of ophthalmic
equipment; related ophthalmic tasks as assigned.
Requirements: COA or COT
Certification. Excellent knowledge of the processes involved;
neat, well groomed
appearance; courteous, pleasant manner; able to put patients at
ease and explain physicians' instructions; respectful of the confidential
nature of medical information; well-developed organizational skills
keenly focused toward accuracy and precision; the ability to take
positive initiative both independently and as a team member.
Ophthalmic Medical Biller and Coder
Responsibilities: Medical accounting functions,
to include billing of patients and insurance companies, coding
of insurance and Medicare charges, daily charge entry/posting,
audits, and working accounts receivable; generating daily and
monthly reports of charges and collections.
Requirements: Excellent knowledge of ICD-9 and
CPT coding, with some ophthalmology coding; two years experience
with medical billing, some within an ophthalmology
practice; Certified Professional Coder (CPC), a definite plus.
Ophthalmic Medical Records
Responsibilities: Maintenance and routing
of patient charts, to include filing and specific order of
patient-related materials, generating referral letters, memos
and routing; preparing charts for following-day schedule; ongoing
review of medical records for accuracy and completeness.
Requirements: Top-notch organizational skills, precision
and detail orientation, ease with coordinated efforts as a team
member,
respectful of the confidential nature of medical information, a reasonable
level of manual dexterity, and the ability to
stay keenly focused and follow through.
Ophthalmic Surgical Coordinator
Responsibilities: Surgical liaison tasks, to
include assisting patients with pre-operative preparations for a
smooth, comfortable and successful surgical experience; coordinating
efforts, functions and information between the patient, surgeons,
surgical facility, and primary care physician; confirming accuracy
of surgical information in patient charts and related surgical paperwork.
Requirements: Excellent knowledge of the processes involved,
advanced communication and interpersonal skills; neat, well groomed
appearance; well-developed
organizational skills focused toward accuracy of details; the ability
to function at a high level both independently and as a team member.
Two years of surgery scheduling experience in a medical practice,
ophthalmology experience preferred.
